The Install Scheduler is responsible for managing and coordinating the weekly work for scheduling, order entry, and material requests within the JIM system. This role involves working closely with the Project Manager, crew installers, and builders to ensure timely and accurate job execution. The Scheduler/Dispatcher will review daily reports, confirm delivery lists and dates, and manage communication regarding job status and material needs.
DUTIES AND RESPONSIBILITIES
- Collaborate with Logistics to prepare a five-day look-ahead based on RJRD and Shipping Tool (HR List)
- Confirm delivery lists and material requirements
- Verify jobs listed in the five-day look-ahead
- Communicate estimated delivery times (ETAs) in builder portals
- Review walk dates and delivery lists of color selections
- Check WO attachments and builder portals for updates or changes
- Confirm proposed delivery dates with builders to ensure acceptability
- Communicate with builders regarding jobs not listed on the five-day report through various channels (customer portals, phone, text, email)
- Work with the Project Manager to organize labor based on delivery data
- Use JIM’s labor scheduling tool to assign crews and ensure capacity
- Inform crew installers about installation dates and locations
- Update builder portals with information on material shortages or delays
- Provide Estimated Time of Supply (ETS) for completion and communicate updates to builders
- Strong communication skills, both written and verbal
- Ability to manage multiple tasks and prioritize effectively
- Attention to detail and strong organizational skills
- Preferably experience in scheduling, dispatching, or logistics coordination
- Preferably experience using relevant scheduling or project management tools, ideally JIM
- Must have a high school diploma or equivalency. Preferably an associate or bachelor’s degree
- Good communication skills to keep supervisor informed of known actions and to be able to work with coworkers effectively
- Ability to analyze basic data and report findings
- Ability to learn new computer systems and software programs quickly
- Ability to work independently and complete daily activities according to work schedule
- Ability to multi-task and manage time in a productive manner
- Ability to follow and execute detailed instructions
- Ability to perform work involving written and numeric data and to make arithmetic calculations rapidly and accurately
- Ability to function effectively under heavy workload during peak periods and to meet strict deadlines on a continuing basis
- Ability to sit for extended periods
