Job Description

We are seeking a detail-oriented and knowledgeable Payroll Tax Administrator to support multi-state payroll tax operations across all 50 U.S. states. In this role, you will ensure tax compliance through data validation, reconciliation, audit support, and coordination with our external Tax Administrator, who is responsible for filings and payments. You will act as a key liaison between internal teams and our tax filing partner to ensure accurate and timely reporting.

Key Responsibilities:

  • Tax Support & Compliance:
    • Monitor tax account setups and employee tax configurations to ensure compliance with federal, state, and local requirements.
    • Maintain up-to-date tax profiles for new jurisdictions in coordination with HR and Payroll teams.
    • Track and escalate changes in payroll tax laws and work with our Tax Administrator to ensure appropriate action.
  • Coordination & Communication:
    • Serve as the internal point of contact for payroll tax questions and work closely with our external Tax Administrator.
    • Communicate any required data or corrections needed to support accurate filings and deposits.
    • Coordinate the registration of new state and local tax accounts as required by business expansion or employee relocation.
  • Reconciliations & Audit Support:
    • Perform monthly, quarterly, and year-end reconciliations between payroll records and tax filings.
    • Research and resolve discrepancies or variances in tax data in collaboration with Payroll and Tax Administrator.
    • Support payroll tax audits by compiling requested documentation and responding to inquiries.
  • Reporting & Documentation:
    • Assist in preparing and reviewing payroll tax reports, summaries, and reconciliations.
    • Maintain comprehensive internal documentation for payroll tax processes and policies.
    • Track and review notices from tax agencies, escalating to the Tax Administrator when action is required.
  • Process Improvement:
    • Identify opportunities to streamline payroll tax workflows and reduce errors.
    • Contribute to system and process updates to support tax accuracy and efficiency.

Qualifications

  • 3 plus years of payroll tax experience in a multi-state environment.
  • Familiarity with payroll systems (e.g., Dayforce, ADP, Workday, Paylocity, etc.).
  • Solid understanding of federal, state, and local payroll tax regulations and employer obligations.
  • Highly detail-oriented with strong organizational and problem-solving skills.
  • Excellent verbal and written communication abilities.
  • Proficiency in Excel and payroll/tax reconciliation processes.
  • Experience supporting payroll operations for a remote or distributed U.S. workforce.
  • CPP or FPC certification is a plus.
  • Working knowledge of tax registration and account maintenance across multiple states.
