The Sr. Logistics Administrator manages customer communication regarding shipping inquiries, backorders, and delivery updates via phone and email. They coordinate deliveries to stores and jobsites, ensuring the fleet meets scheduled ETAs. This role tracks and reports shipping metrics and driver performance, schedules weekly shipments and freight pickups, and serves as the dispatch contact, handling paperwork and delivery issues. They communicate across departments to align priorities and serve as backup to the Production and Shipping Scheduler. The Sr. Logistics Administrator ensures timely, accurate shipments while maintaining excellent customer service and operational efficiency.
ESSENTIAL FUNCTIONS:
- Respond to customer inquiries, issues, and concerns related to shipping through clear and precise communication via phone and email.
- Coordinate deliveries to stores and jobsites by communicating with customers and ensuring the fleet team is informed of delivery ETAs and able to meet scheduled timelines.
- Report customer backorders promptly to the affected customers and the appropriate sales or service team members.
- Monitor all backorders to ensure unshipped or undelivered units are included in the next shipment and proactively inform customers of the updated delivery status.
- Accurately record and document all shipping metrics, including units loaded, backorders, shortages, and overages.
- Communicate and coordinate effectively with other departments to ensure alignment of shipping schedules, priorities, and customer needs.
- Schedule weekly shipments and assign drivers to routes based on load requirements and driver classifications.
- Schedule truckload (TL) and less-than-truckload (LTL) pickups for units, crates, and packages.
- Serve as the dispatch point for drivers by printing necessary paperwork, assigning proof of delivery documents, maintaining communication throughout routes, and addressing any issues that arise during deliveries.
- Track and monitor all driver metrics, including hours of service, safety scores, preventive vehicle maintenance, and any necessary vehicle repairs.
- Act as the backup to the Production and Shipping Scheduler, assisting with production and shipment scheduling and related tasks as needed.
Education: High School Graduate/GED
Experience:
- 2–5 years of experience in shipping, logistics, or warehouse operations, complemented by a background in customer service or dispatch.
- Preferred experience includes coordinating deliveries, managing shipment documentation, tracking key metrics, and scheduling freight pickups.
- Proficiency in Microsoft Office is required, along with familiarity with shipping and logistics software.
Knowledge:
- Must demonstrate strong reading, writing, and basic mathematical skills necessary to perform job duties accurately.
- Proficiency in computer applications, including Microsoft Office, is required.
- Must possess solid customer service principles and excellent communication skills.
- Strong problem-solving abilities and a proactive approach to resolving issues are essential.
